Our client in the sales sector is seeking to recruit a highly organized and proactive Administrative Site Clerk to join the site team. The ideal candidate will be the supportive force behind the daily operations at the sites, ensuring all administrative tasks are handled efficiently and accurately.

Responsibilities:

Assist the Site Coordinator and Cost Surveyor in the organisation with their day-to-day work and communicate with all departments regarding works and deliveries to site.
Assist in the monitoring of the Site Procedures and related matters (Iso Procedures, mails, Communication, Health & Safety related matters, etc.).
Act as the primary point of contact for internal staff, external clients, vendors, and subcontractors, handling inquiries via phone, email, and in-person visits in a professional manner.
Schedule and coordinate meetings and appointments.
Follow up the progress of on-site operations and give regular feedback.
Assist Site Supervisors / Planning officer with deliveries for their site.
Prepare all administrative documentation for each site / tender and organise all.
Maintain and organise physical and electronic filings.
Assist with data entry and prepare basic reports.
Monitor site attendance and overtime on sites.
Liaise with Clients regarding invoices to be sent and payment to be received.
Liaise with the department concerned as regards payment of subcontractors.
Familiar with construction drawings, terms and materials specification.
Maintain the confidentiality of sensitive information.
Provide ad-hoc administrative support to the project team and management as needed.

what you need to know

Profile:

Minimum HSC or equivalent.
Proven experience in an administrative or office support role, preferably within the construction or a related industrial environment.
Fully conversant with main Microsoft tools.
Exceptional organizational and time-management skills, with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
Excellent written and verbal communication skills in both English and French.
A professional demeanour and the ability to work collaboratively as part of a team and interact with diverse stakeholders.
Attention to detail, and the ability to multitask in a fast-paced environment.
