Our client in the manufacturing sector is seeking to recruit a dynamic Confidential Secretary.

Responsibilities:

Manage the Managing Director's appointments, diary, and schedule and meetings.
Arrange meetings with clients, suppliers, banks, and board members; prepare agendas and briefing notes.
Handle confidential company documents, contracts, and financial information securely.
Screen calls, emails, and visitors, and take messages accurately.
Prepare letters, reports, and presentations, if required, related to company operations.
Coordinate travel arrangements for the Managing Director, including transport, hotel, and factory visits.
Take minutes in meetings and follow up on action points.
Liaise with internal departments (Production, Accounts, Customer Service, HR) to gather information for the Managing Director.
Monitor deadlines for factory reports and project updates if required
Ensure confidentiality in all dealings and sensitive company matters.
Assist with day-to-day administrative tasks to keep the Managing Director's office running smoothly.
Fulfilling such cognate duties and other assignments as may be requested by Management

what you need to know

Profile:

Higher School Certificate.
Secretarial Studies.
3 - 5 years experience in the field.
Demonstrates discretion when handling confidential and sensitive matters.
Maintains composure and efficiency while working under pressure, including during irregular hours.
Reliable and trustworthy, with a strong sense of integrity, responsibility, and professionalism.
Ability to prioritize tasks according to importance in a fast-paced environment
Possesses excellent communication and interpersonal skills.
Fluent in both English and French, written and spoken.
