Our client is seeking to recruit a Finance and Administrative Manager who will report to the Chief Executive Officer. The incumbent will be responsible for overseeing the financial and administrative functions of the company. This includes managing monthly and annual financial reporting, cash flow, investments, and internal controls.
Responsibilities:
Manage the preparation of monthly and yearly financial statements and reports.
Ensure that monthly management accounts for each entity and consolidated, if required, are finalised within 15 working days of the following month.
Manage the recording and maintenance of financial records including, but not limited to, general ledger, accounts receivable, accounts payable, costing, inventory, fixed assets.
Manage cash flow, investment and debt management activities.
Design, implement and administer internal control and other key control processes, with the support of service providers when required.
Provide training to users on the importance and criticality of internal control and other key control processes for all upon implementation.
Ensure all purchasing are conducted in accordance with the company's rules and procedures.
Oversee maintenance of departmental records and files.
Lead annual budget preparation and monitor performances accordingly.
Review staffing, equipment and supply needs based upon trends and planned activities.
Continuous training in order to understand and remain up-to-date on the different business activities.
Provide responsible advice to the CEO and department managers on financial and administrative issues.
Attend Board of Directors and Committee meetings and present reports including, but not limited to, financial performance, income, expenditure, budgets, variances.
Liaise with company secretary on issues pertaining to Board of Directors and Committee meetings.
Liaise and negotiate with banks and other financial institutions on issues pertaining to cash flow management and banking facilities and ensure a strong negotiating position vis-à-vis them.
Liaise with external and internal auditors and ensure smooth running of year-end audit and internal control assignments respectively.
Ensure audit findings, both internal and external, are dealt with and actions to remedy the findings are implemented in an effective and efficient manner.
Liaise with tax advisor and ensure all tax returns are filed on time.
Ensure with responsible parties that all returns are filed with the relevant authorities on time and all licences are paid for and renewed on time.
Manage IT function and ensure staffing requirements are met at all times.
Planning / Development / Staff Management:
Develop, plan and implement goals and objectives for the finance and administrative department personnel.
Ensure that the finance and administrative department is adequately managed, staffed and resourced.
Ensure vision, mission and policies developed together with the CEO and the Board, if necessary, are adequately adhered to.
Ensure adherence to policies and procedures and abide to the Workers Rights Act 2019.
Conduct interviews of potential new staff along with Human Resource Manager and other staff when required.
Analyse and provide first level approval of monthly payroll.
Identify training needs for the finance and administrative department's personnel.
Perform Performance Reviews of the department's staff at the frequency determined by the CEO and Human Resource Manager.
Any other cognate duties that may be assigned to you by the CEO or the Board of Directors in line with the requirements of your position.
what you need to know
Profile:
A Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
A Master's degree in Finance, Business Administration (MBA), or a related discipline would be an added advantage.
Recognized financial certifications such as ACCA (Association of Chartered Certified Accountants), CPA (Certified Public Accountant), or CIMA (Chartered Institute of Management Accountants).
Minimum of 5 to 10 years of experience in financial management and accounting, with at least 3 to 5 years in a leadership or managerial role.
Experience in managing finance and administrative functions across multiple entities or within a large organization.
Experience in implementing and managing Enterprise Resource Planning (ERP) systems.
Proficiency in financial software and tools (e.g., SAP, Oracle, or other ERP systems).
Knowledge of audit processes and experience in dealing with both internal and external auditors.
Familiarity with regulatory and tax requirements.
Strong leadership skills with the ability to manage and motivate a team.
Excellent communication and interpersonal skills to liaise with stakeholders, including the CEO, board members, auditors, and financial institutions.
Strong analytical skills to interpret financial data, manage budgets, and advise on financial strategies.
